This post is made with acknowledgement to TI Lebone at the Free State Department of Education EMIS Section, as well as the EMIS Section itself.

If you have already noticed that the PAT2 Term Weight % has been incorrectly set to 0 and rectified it, no action is required on your part.  If not, please follow the instructions below:
Important: DO NOT use the Auto Calculate function for Validation of any other Subject, unless instructed to do so by an EMIS Official or your SA-SAMS Trainer.

Problem: Grade 7 Technology Marks are calculated incorrectly, i.e. doesn't include PAT2 in the Term Mark calculation.

Impact on calculation of Marks:

• Grade 7, Term 3 Progress Reports
  
• Year-to-date Results per Subject and Grade (12.9.13 & 12.9.14)
  
• Promotion Schedules for Terms 3 and 4.
  

Specifics:
Grade: 7
Subject: Technology
Task: 4: PAT2 (PAT) - Formal

Prerequisites:
User with access to perform SBA Setup, Maintain SBA Results and Promotion Decisions + Report Comments.

Procedure:

1. Access 12.3.11 School Based Programme of Assessment
   
2. Select Grade 7 and Technology at the top
   
3. Click Weights / Validation
   
4. Click Yes, when prompted
   
5. Click Auto Calculate
   
6. Click Yes, when prompted
   
7. Click Save / Validate
   
8. Click Yes, when prompted
   
9. Click Done to return to the previous menu (12.3 Maintain School Based Assessment)
   
   
10. If you have Marks Capturing Security enabled, remove the Principal and HOD Verification first.  If Marks Capturing Security is Disabled, continue from the next paragraph:
    
11. 12.3.12 Maintain Learner SBA Results
    
12. 12.3.12.13 SBA Results - Principal Verification - Grade 7, Technology, All Classes, Term 3, Remove Principal Verification, Done
    
13. 12.3.12.12 SBA Results - HOD Verification - Grade 7, Technology, All Classes, Term 3, Remove HOD Verification, Done
    
    
14. 12.3.12.11 SBA Results - Capture
    
15. Select Grade: Grade 7
    
16. Select Subject: Technology
    
17. Select Class: All
    
18. Select Term: Term 3
    
19. Click Go
    
20. Click Save
    
21. Click Yes when prompted
    
22. Click OK
    
23. Click Done
    
    If Marks Capturing Security is Enabled, remember to do the HOD and Principal Verification again.
    
    
24. Click << Maintain School Based Assessment Menu
    
25. Click << Curriculum Module Menu
    
26. Click 12.7 Maintain/Print Learner Progress Reports
    
27. Click 12.7.16 Maintain Learner Report Cycle Result
    
28. Click 12.7.16.3 Maintain Results per Subject
    
    
29. Select Grade: Grade 7
    
30. Select Subject: Technology
    
31. Select Class: All
    
32. Select Report Cycle: Term 3
    
33. Click Go
    
34. Deviations between Calculated and Saved Marks will be indicated as light red in colour (Report <> Calculation), thus Report not equal to Calculation.
    
35. Click Save
    
36. Click OK
    
37. Click Done
    
38. Click << Maintain/Print Learner Progress Reports Menu
    
    
39. Click 12.7.18 Maintain Learner Promotion Decisions + Learner General Report Comments.
    
40. Select Grade: Grade 7
    
41. Select Class: All
    
42. Select Cycle: Term 3
    
43. Click Go
    
44. Change Promotion Codes under Select Code column, only applicable if indicated in red under Code*.
    
45. Click Save
    
46. If SA-SAMS reports "There is nothing to save", no learners have been affected Promotion-wise. Click OK.
    
47. Click Done
    

You may now proceed to check if the calculations are correct.
